Using Class Join Codes

Let students add themselves to your class with a simple six-digit code. No manual data entry needed, and you stay in control by approving requests individually, or open a one-hour auto-approval window to enrol a whole class in one go.

Before we begin, please note

  1. If your school is integrated with Wonde, Google Classroom or Clever, your classes and accounts are managed via this integration. You will not be able to use class join codes to add students to existing classes managed by an integration.

  2. If your school's student invite settings are set to Username or StudentID, you will not be able to utilise class join codes at this time. Students must have a school affiliated email address to use class join codes.

What are Class Join Codes?

Class Join Codes are a quick and easy method of enrolment which enable your students to add themselves to your class.

  • Saving you time: No need for any manual data entry at your end.

  • You stay in control: By default, you approve who joins before they're added. When you want to move faster, you can open a one-hour auto-approval window (see below). You can reset or disable the code at any time to prevent unwanted access after your class is set.

  • Effortless class setup: Perfect for the first day of class, just display the code at the front of your class and you're ready to go.

There are two ways students are added once they enter your code:

  • Manual approval (default): Students who are new to your school, or who come from another school, submit a request that you approve. Students who already belong to your school are added automatically.

  • Auto-approval window: When you open the window, students who would normally sit pending are enrolled automatically for one hour. This is ideal for enrolling a whole class at once on the first day.

Accessing and managing your Class Join Code

In order to locate the class join code for one of your classes, open up the class and navigate through to the People tab. Click the Class join code button to view the steps you'll need to follow to have your students join your class.

There are 3 main steps that you will need to follow in order to have your students enrolled into your class via class join code:

  1. Have your students click on the Got a class join code? option from the EP login page

    1. If they're already signed into their account, they can click the + button in their left-hand navigation.

    2. They can also access the URL directly which is mentioned in the class join code steps within the People tab of your class (CA version shown below)

  2. Share the relevant join code with your students and have them input this within our join code page.

  3. We recommend expanding this and presenting it in front of your class

  4. Upon each student submitting their request to join your class, they will automatically have an account created where required and be added to your class upon approval (or immediately, if your auto-approval window is open).

Using the auto-approval window

The auto-approval window lets you enrol a whole class quickly without approving each student one by one. When you open it, any student who would normally sit pending (students new to your school and students from another school) are added to your class automatically for the duration of the window.

Key things to know:

  • The window lasts a fixed one hour. The duration can't be changed.

  • You can close it early at any time, and re-enable it after it has closed if you need another window.

  • Students from your own school are added automatically regardless, this is unchanged from the standard process.

  • While the window is open, you'll be able to see its status on the class: whether it's open, how much time is left, and how many students have joined.

To open the window:

  1. Navigate to the People tab of your class.

  2. Click the Class join code button and scroll to Step 3.

  3. Click and confirm to open the window, it will run for one hour, or until you close it.

A note on security: While the window is open, anyone who enters your code is added without individual review. For this reason, we recommend opening the window only while you're actively enrolling your class, closing it once everyone's in, and not sharing the code more widely than needed. You can close the window early as soon as your class is set up.

Reviewing student join requests

When a student new to your school uses a class join code and your auto-approval window is not open, you must approve their request for them to be added. This ensures only the desired students join your class. In order to review any pending requests:

  1. Navigate to the People tab of your class

  2. Click the Review Join Requests within the blue information banner

  3. A list will appear where you can review and approve all requests as a group

  4. You can also decline unwanted student requests here

If your auto-approval window is open, these students are added automatically and won't appear here as pending requests. Once the window closes, any further new or other-school students fall back to this manual approval flow.

Once approved (whether manually or automatically), accounts will be created for any new students and you'll be prompted to download a file with credentials to provide to these new students. Additionally they'll also receive an email prompting them to log in which they can utilise if they have access to their school email.

Existing students will be added to your class automatically.

You'll be notified of pending join requests via a badge on the class card of your classes dashboard, a blue dot on the People tab of the class and the blue information banner shown in the screenshot below.

What's the class join code process from the student side?

The process for a student to join a class via class join code is simple:

  1. Access our join code page

    1. If you're already signed into your account, you can click the + button in your left-hand navigation.

    2. From the login page, you can also click the Got a class join code? button

  2. Enter the unique, 6 digit code that your teacher shared with you

  3. When prompted, enter your name and school affiliated email address

  4. Click Access!

That's it. Any student that has an existing account with your school will be able to sign in and access their class straight away. For new students, if your teacher's auto-approval window is open they'll be added immediately; otherwise, once their request has been reviewed and approved by their teacher, their account will be created and they'll be able to sign in with the login details provided through to them via email or their teacher.

What is the auto-approval window?

It's an option you can turn on for a class so that students who would normally need approval are enrolled automatically for a set period. It's designed for enrolling a whole class quickly, for example on the first day.

How long does the auto-approval window last?

One hour. The duration is fixed and can't be adjusted. You can close it early at any time, and re-enable it once it has closed.

Why did my auto-approval window close on its own?

There are a few reasons a window closes automatically:

  • It reached its one-hour limit - windows expire automatically after an hour.

  • You disabled the join code - disabling a class join code also closes any open window for that class.

  • A safety limit was triggered - if we detect unusual activity on the join code, we automatically close the window to protect your class. You'll be able to see that the window was force-closed and why. If this happens unexpectedly, generate a fresh code and reach out to our Support Team if you're unsure.

What errors can students run into?

  • You're offline. Connect and try again. - Occurs when students are experiencing network connectivity issues at the time of entering a class join code. They should check their connection is stable before trying again.

  • You have exceeded the maximum number of join requests. Please try again later. - Students should never normally run into this particular error, if they are, please reach out to our Support Team and let us know.

  • Please enter a complete join code. - Occurs when an incomplete or empty class join code has been entered and submitted.

  • Join codes must only contain numbers or letters. - Occurs when special characters or emojis have been entered and submitted as the class join code.

  • Code invalid. Check with your teacher. - This can occur when a class join code has been entered which doesn't exist. It will also show if the code had since expired (expires after 1 month) or had been removed from the class. Double check the code associated with your class, ensuring this hasn't been disabled and have your student try again.

  • Usage limit reached. Check with your teacher. - Each generated class join code can only be submitted a certain number of times before it becomes invalid. If students are receiving this error, generate a new class join code and have them try again.

  • School settings error. - Students will receive this error if they have entered in an email format that does not match your school's invite settings. Have them enter an email that matches your schools expected format or reach out to your School Administrator to update this setting.

Can students join a class using a join code while signed in?

Yes they can! From the student dashboard they'll be able to click the + button within their left-hand navigation. This will take them straight through to the class join code page. They'll just need to enter the 6 digit unique code and click to submit their join request.

What happens when the class join code is disabled?

Once you've disabled the class join code within your class, any student who attempts to enter this code moving forward will receive a Code invalid error. No student should be able to join your class using that code moving forward. Disabling the code will also close any auto-approval window that is currently open for that class.

How do I change the class join code associated with my class?

If you want to update the class join code that has been generated for your class, you can do so via the Settings tab of your class. Click the Refresh button to generate a fresh code.

Do students need access to their email to use class join codes?

No they don't, newly created student accounts will receive an email prompting them to sign in for the first time however isn't required for them to be added to your class via join code. For any student who isn't able to access their email, you'll be able to provide them with their login credentials upon being added to your class.
